Subscription & Billing

Effective: April 19, 2026

This document explains how Wayfield subscription plans, billing, platform fees, and organizer payouts work. It applies to all organizer accounts on the Wayfield platform operated by Wayfield, Inc.

1. Subscription Plans

Wayfield offers four subscription tiers for organizers:

Foundation (Free)

The Foundation plan is free of charge and allows organizers to get started on the platform at no cost. It includes up to 2 live workshops at a time (drafts are unlimited; a workshop counts as live once published and until its end date passes, after which it frees a slot) and up to 75 enrolled participants per workshop. A platform fee of 6.5% applies to all workshop sales made under this plan.

Creator (Paid)

The Creator plan is available at $49/month or $499.80/year (saving 15% versus monthly billing). It includes up to 10 live workshops at a time and up to 250 enrolled participants per workshop, plus advanced analytics, custom branding, and priority support. A reduced platform fee of 4.0% applies to all workshop sales made under this plan. Organizers choose their billing frequency at the time of sign-up or upgrade and may change it at the next renewal.

Studio (Paid)

The Studio plan is available at $149/month or $1,519.80/year (saving 15% versus monthly billing). It includes unlimited live workshops and unlimited participants per workshop, plus a dedicated account manager, API access, and white-label options. A reduced platform fee of 2.0% applies to all workshop sales made under this plan. Billing frequency is chosen at sign-up or upgrade and may be changed at the next renewal.

Enterprise (Custom)

The Enterprise plan offers custom pricing, a negotiated platform fee rate, bespoke workshop and participant limits, and a dedicated service level agreement (SLA). Enterprise is designed for large organizations and institutions with high-volume or specialist requirements. To inquire, contact our sales team at sales@wayfieldapp.com.

Plan limits on workshops and participants are enforced at the platform level. If you approach your plan’s limits you will receive an in-app notification and email. Exceeding limits may prevent you from creating additional workshops until you upgrade.

2. Billing Cycles

Monthly subscriptions are billed on the same calendar date each month corresponding to the date you first subscribed or most recently changed billing cycle. Annual subscriptions are billed once per year on the same date.

No partial refunds are issued for plan downgrades made mid-billing cycle. If you downgrade from Creator to Foundation, you retain access to Creator features until the end of your current paid billing period, after which your account moves to the Foundation plan.

3. Payment Methods

Wayfield accepts payment by credit and debit card. All card payments are processed securely by Stripe, Inc. (“Stripe”). Wayfield does not store your full card details on its servers — all card data is held by Stripe subject to their PCI-DSS Level 1 certification.

By adding a payment method, you authorise Wayfield (via Stripe) to charge your card automatically at each billing cycle renewal. You may update your payment method at any time from your account billing settings, and changes take effect at the next billing date.

4. Failed Payments

If a payment fails, Wayfield will retry the charge automatically. Our retry schedule is:

  • First retry: 3 days after the initial failure
  • Second retry: 5 days after the first retry
  • Final retry: 7 days after the second retry

You will receive an email notification each time a payment attempt fails. If the payment remains unsuccessful after all retries (totalling 7 days from the original due date), your account will be automatically downgraded to the Foundation plan. You will not lose your existing workshop data but you will lose access to features exclusive to your paid subscription tier.

To reactivate your paid subscription after a payment failure, update your payment method in account settings and restart your subscription. Your billing cycle will reset to the reactivation date.

5. Upgrades and Downgrades

Upgrades between any tier (for example Foundation to Creator, Foundation to Studio, or Creator to Studio) take effect immediately. You will be charged a prorated amount for the remainder of the current billing period at the new tier rate, then billed at the full new rate from the next billing date. Upgrades to Enterprise are arranged directly with our sales team and take effect on the agreed contract start date.

Downgrades between any paid tiers, or from any paid tier to Foundation, are scheduled and take effect at the end of your current billing period. You continue to have full access to your current tier’s features until that date. No refund is issued for the remaining portion of a prepaid period.

When switching between monthly and annual billing, the change takes effect at the start of your next billing period. If you switch from annual to monthly, your annual prepayment is not refunded and the new monthly billing begins after your annual period ends.

6. Platform Fees on Workshop Sales

When participants pay to enrol in your workshops through Wayfield, Wayfield charges a platform fee as a percentage of each transaction. This fee covers payment processing, platform infrastructure, and participant support. The platform fee rate applicable to each subscription tier is:

  • Foundation: 6.5% per transaction
  • Creator: 4.0% per transaction
  • Studio: 2.0% per transaction
  • Enterprise: agreed rate set out in your Enterprise agreement

Your current effective rate is also shown in your account settings under “Billing & Payouts.”

Platform fees are deducted automatically from the gross participant payment before funds are transferred to your connected Stripe account. Participants are never shown the platform fee or your payout amount — they see only the total price you set for the workshop.

Stripe's own payment processing fees may also apply and are separate from Wayfield's platform fee. These are charged by Stripe in accordance with your Stripe Connect agreement.

7. Payouts to Organizers

To receive payments from participants, you must connect a Stripe account via Stripe Connect. Payouts are processed after workshop completion. Funds collected during a workshop session are held by Stripe and released to your Stripe account after the workshop end date, subject to Stripe's standard holding period and Wayfield's platform fee deduction.

Typical payout processing times are 7–14 business days after the workshop end date, depending on your bank and country. Stripe's own payout schedules and policies also apply.

As an organizer, you are solely responsible for declaring and paying any income tax, VAT, or other taxes arising from workshop revenue paid out to you. Wayfield provides a transaction history in your account for your records but does not provide tax advice or manage your tax obligations.

8. Cancellation of Subscription

You may cancel your Creator or Studio subscription at any time through your account settings. Enterprise customers should refer to their Enterprise agreement for cancellation terms. Upon cancellation, your subscription will not renew and you will retain access to your current paid tier until the end of your current paid billing period.

After your subscription ends, your account moves to the Foundation plan. Your workshop data, participant records, and payout history are retained in accordance with our data retention policy. No partial refunds are issued for unused time remaining in your billing period on cancellation.

9. Price Changes

Wayfield may change subscription prices from time to time. We will give you at least 30 days’ advance notice of any price increase by email and/or in-app notification. The new price will take effect at the start of your next billing period following the notice period.

Continued use of the Creator plan after a price change takes effect constitutes your acceptance of the new pricing. If you do not agree to the new price, you may cancel your subscription before the change takes effect.

10. Taxes

Subscription prices are shown in US dollars and are exclusive of applicable taxes. Depending on your location, Wayfield may be required to collect and remit sales tax, VAT, GST, or other applicable taxes at checkout. The tax-inclusive total will be shown before you confirm payment.

Invoices and receipts are automatically generated and available to download from your account billing history. If you require a tax invoice for business purposes, please contact billing@wayfieldapp.com with your billing details.
